Retrieval-based internal AI assistant for empowered pensions staff. Strictly grounded on SharePoint-synced KB. 4 playbooks: Knowledge Base Q&A, IT Support and Access, HR and Workplace Policies, Operations and Processes.

Problem

Teknicare staff were routing routine HR, IT, and operations questions to managers, creating bottlenecks. The assistant needed to be retrieval-only — no hallucinated answers — and respect the knowledge domain boundaries of each playbook.

Implementation Decisions

  1. Primary constraint hard-coded: 'Answer strictly and only using content retrieved from the company SharePoint-synced KB'
  2. Claude 4.6 Sonnet selected for reasoning quality at $0.022/msg — within Teknicare's per-query budget
  3. Buttons tool enabled for clarification triage — reduces ambiguous free-text queries
  4. KB paired with the Make.com sync pipeline — same knowledge source, zero manual overlap
